Why we collect data

We collect information about you when you request to become a borrower from our community or a follower of our community via our website, email, newsletter sign up links, online catalogue or at one of our events. We collect such data in order to conduct our day-to-day activities, and in order to inform you with your consent of our activities and services. We only collect and keep your information with your consent, we keep it securely, and we will never sell or share your personal information with other organisations without your explicit consent.

Categories of individuals

Followers

A company called MailChimp provides the sign-up forms we use to invite you to subscribe to our mailing list when you become a follower. MailChimp also stores the personal information you provide, which allows us to create and use distribution lists and send email campaigns. MailChimp’s privacy policy can be found on their website at https://mailchimp.com/legal/privacy/. MailChimp also collects certain information automatically when we send you emails. This includes your IP address, browser, approximate location, and activity in response to our emails (such as opening the message or clicking on links). The automatic information collected by MailChimp helps us to understand the extent to which our emails are useful to you, and we may occasionally send special mailings that make use of this kind of information. For example, a reminder invitation may be sent to people who did not open a meeting invitation.

Borrowers

A company called MyTurn provides the online library of things catalogue that you can use to browse our inventory, reserve items and process transactions. MyTurn also stores the personal information you provide when you create an account to become a borrower, which allows us to maintain a record of borrowers, and contact you if needed. Once you provide proof of address and telephone number, you become a certified borrower, and at this point we will also hold records on your current address of residence. This is in order to verify that you live in the area covered by our activities and to more easily liaise and meet you if needed. Card Payments

Credit and debit card payment services are provided directly by Stripe.com. At no point are card details stored with KLOTH or transferred by KLOTH. When you initially provide your payment information, we transmit it via an encrypted connection to Stripe. Stripe uses and processes your payment information in accordance with Stripe’s Privacy Policy. If you wish to delete these details from Stripe, email us via info@kloth.org.uk.

Security

The security of your personal information is important to us, but remember that no method of transmission over the internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.

Analytics

We collect information that your browser sends whenever you visit our website ("Analytics"). This data may include information such as your computer's Internet Protocol ("IP") address, browser type, browser version, the pages of our Website that you visit, the time and date of your visit, the time spent on those pages and other statistics.

Cookies

If you visit our website, we may place cookies (small text files) on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity, to help us monitor the effectiveness of our website. Children's Privacy

Our website does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us. If we discover that a child under 13 has provided us with personal information, we will delete this information from our servers immediately.

Changes to this privacy policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.

Retention Schedules

We will hold your email in MailChimp as a follower until you unsubscribe via the link at the bottom of our emails, or via info@kloth.org.uk

We will hold your personal data in MyTurn as a borrower until your account is deleted, which can be performed by an administrator if a user requests to no longer to be registered for the service. To do so, email us at info@kloth.org.uk

Your rights

You have a right at any time to stop us from contacting you. You also have the right to request a copy of the information that we hold about you, and you have the right to request that we correct or change any information that you think is inaccurate.
